Legal and Licensing Coordinator

The Legal and Licensing Coordinator is responsible for supporting the Legal Department at Harmonix under the supervision of the General Counsel. The services provided include, but are not limited to, managing, tracking and administering all music licenses for Harmonix’s games, coordinating the legal contract process and drafting standard agreements, providing initial legal review and facilitating the legal review process for each game, and acting as a key contact for cross-departmental communication. The Legal and Licensing Coordinator serves as a liaison between the Legal department and Music, Marketing, Production and Finance teams. Strong communication skills, attention to detail, and experience with contract administration and drafting is required.

Responsibilities:

  • Manage all corporate and legal files by tracking agreement drafting processes, managing agreement executions, performing contract database entry and organizing hard files.
  • Serve as initial point of contact for most standard contract needs by managing contract intake process, working with stakeholders to finalize terms, and reviewing and redlining agreements as necessary.
  • Prepare drafts of standard agreements from templates, such as Non-Disclosure Agreements, Consulting Agreements, Master Services Agreements, Certificates of Authorship, etc.
  • Provide first pass and high-level trademark/legal searches for all games in development. Work with General Counsel to complete full legal review for products.
  • Assist in document production and discovery processes for litigations.
  • Assist in reviewing and approving music uses and text/art assets for all marketing materials, videos, social media, etc.
  • Work with Music team to review and track music clearances, organize and track all rights holders, financial terms and ownership information, and maintain licensing trackers for all projects.
  • Coordinate the song use confirmation process, including drafting templates, collecting credits and working with outside clearance partners to confirm music uses in games.
  • Coordinate with General Counsel and outside counsel to manage agreement finalization and execution.
  • Update internal teams regarding changes to music rights holders, issues impacting production and timing of legal review and drafting.

Qualifications:

  • 3-5 years of contract management and basic contract drafting skills
  • Excellent prioritization and multi-tasking skills with an extreme attention to detail
  • Ability to be proactive and spot issues rather than simply be reactive
  • Superior interpersonal skills, trustworthy and intuitive
  • Basic understanding of music copyright and licensing
  • Excellent written and verbal communication skills
  • Extremely dependable, with experience handling sensitive and confidential information
  • Team player, while being able to work independently
  • Being well versed in current trends in music and entertainment is a plus
  • Experience with Microsoft Excel required
